Do not use words that give options: can, may, or optionally as these words will lead to confusion and ambiguity. Make sure you inform the person who will be listening of what you are doing at each step for clarity. The last step is to continuously improve the procedure. Get feedback from those who are using the procedure to see how it can be improved or updated. Once you have the feedback, update the procedure. The more times that your procedures go through the feedback cycle, the better they will become.
